Job Vacancy – Membership & Maintenance Co-ordinator

We are looking for a highly motivated and organised Co-ordinator with strong people skills to join our team here in South London. As a Membership & Maintenance Co-ordinator in the Rentals Department, you will provide comprehensive coordination and administration support to both the Rentals and Maintenance team.

You will be joining a team of two Membership Officers, and will report directly into the Membership Manager. The role will also work alongside the Maintenance team, with some reporting duties from the Maintenance Manager.

  • Reports to: Membership Manager – Rentals
  • Salary: £24,000 – £27,000 per annum (37.5 hours per week)

Main Responsibilities

  • Handling telephone enquiries from clients and service users directly in relation to the reporting and updating of maintenance issues
  • Maintaining and updating the Rentals CRM system and Maintenance Job Management System with new maintenance cases, updates and case outcomes
  • Liaising with clients to gain approval for maintenance repairs and ensuring they are kept informed of latest developments in relation to maintenance issues
  • Assisting in the scheduling of maintenance repairs on an ad hoc basis
  • Importing and maintaining all completed pre-planned maintenance visit outcomes, reports and mapping
  • Monitoring of inbound communication sent to the Maintenance and Rentals department inbox
  • Customer liaison – providing both written and verbal communication(email and telephone)
  • Working closely with the Maintenance Manager to ensure the timely resolution of all maintenance issues
  • Providing administrative support to the Rentals Department, to include but not limited to, key processing, credit control, processing refunds, key returns and general customer enquiries
  • Assist with preparing reports, as directed by the Membership Manager
  • General administrative duties for Rentals & Maintenance Department as directed by the Rentals Manager or Maintenance Manager
  • Any other duties commensurate with the post

Essential qualifications and skills

  • Able to organise and prioritise own workload.
  • Able to maintain focus, be reliable and personable.
  • Ability to learn new software systems following training.
  • Experience of handling complex telephone and email enquiries.
  • Experience of general office and administrative duties.
  • Experience of credit control.
  • Ability to remain calm under pressure.

Desirable skills

  • Experience of working in a maintenance related background.
  • Passionate about cycling or an interest in sustainable transport.
  • Understanding and knowledge of Salesforce and Jobwatch.
