Job Vacancy – Junior Maintenance Co-ordinator

We are looking for a highly motivated and organised Junior Maintenance Co-ordinator with strong people skills to join our team here in South London. As a Junior Maintenance Co-ordinator, you will provide comprehensive coordination and administration support to the Maintenance team.

This role is crucial to the support of the Maintenance Department and requires someone who is highly motivated, organised, and capable of maintaining focus while engaging with multiple stakeholders. You will report directly to the Maintenance Manager and collaborate with various teams across the business.

Working Hours: 9:00 am to 5:00 pm, with a 30-minute lunch break (37.5 hours per week).
Annual Leave: 25 days per year + bank holidays.
Location: Lower Sydenham, with a hybrid working pattern – 2 days from home, 3 days in the office.

Salary: £25,642.50 -£27,000 a year – Full Time

Key Responsibilities:

  • Maintain and update the company’s CRM system and Maintenance Job Management System with new cases, updates, and outcomes.
  • Liaise with clients to gain approval for maintenance repairs and keep them informed of the latest developments.
  • Assist in scheduling all maintenance repairs.
  • Import and maintain all completed pre-planned maintenance visit outcomes and reports.
  • Monitor inbound communications sent to the Maintenance Department inbox.
  • Coordinate directly with the on-site Maintenance teams to promptly address and resolve any arising issues.
  • Work closely with the Maintenance Manager to ensure the timely resolution of all maintenance issues.
  • Assist in preparing reports as directed by the Maintenance Manager.
  • Perform general administrative duties for the Maintenance Department.
  • Invoice clients for completed maintenance work.
  • Undertake any other duties commensurate with the role.

Essential Requirements:

  • Excellent organisational and prioritisation skills.
  • Ability to maintain focus, reliability, and a personable demeanour.
  • Capability to learn new software systems following training.
  • Experience with general office and administrative duties.

Desirable Requirements:

  • Experience in a maintenance-related background.
  • Passion for cycling and an interest in sustainable transport.
  • Knowledge of Salesforce, Job Watch, and NetSuite.
